Steinbeck Peninsula Equine Clinics is seeking a detail-oriented and customer-focused Accounts Receivable (AR) Coordinator to join our team in Salinas, California.

POSITION DETAILS


  • Pay: $23.00 - $31.27 per hour

  • Location: In-person in Salinas, CA

  • Schedule: Part-Time

  • Hours: Monday - Friday, 4 hours per day, 20 hours per week


POSITION SUMMARY


The Accounts Receivable (AR) Coordinator is responsible for overseeing the day-to-day accounts receivable functions for Steinbeck Peninsula Equine Clinics. This position plays a critical role in maintaining the financial health of the practice by ensuring timely collections, monitoring patient deposits, supporting billing accuracy, and collaborating with the Operations Manager to develop efficient systems and processes that improve payment management and client experience.


The ideal candidate is detail-oriented, highly organized, customer-service focused, and comfortable working in a fast-paced veterinary healthcare environment.


ESSENTIAL DUTIES & RESPONSIBILITIES


Accounts Receivable Management:

  • Monitor and manage outstanding accounts receivable and aging reports.

  • Review delinquent accounts and initiate appropriate collection efforts while maintaining positive client relationships.

  • Contact clients regarding outstanding balances, payment arrangements, and account questions.

  • Process client payments accurately and timely.

  • Document collection activities and payment communications on our HVMS practice management system.


Deposit & Hospitalization Monitoring:

  • Monitor and process daily deposits to ensure all payments are processed accurately.

  • Verify that hospitalized patient admission forms and required financial documents are completed.

  • Ensure required deposits have been collected prior to or during hospitalization according to clinic policies.

  • Review hospitalization estimates and work with Operations Manager to projected treatment timelines to determine whether deposit updates are necessary.

  • Collaborate with the Operations Manager to revise estimates and request additional deposits as patient care progresses.


Financial Operations Support:

  • Assist the Operations Manager in developing, implementing, and maintaining accounts receivable systems, workflows, and payment policies.

  • Help identify opportunities to improve billing accuracy, payment collection, and financial processes.

  • Support implementation of payment procedures that enhance operational efficiency and client communication.

  • Assist with financial reporting related to accounts receivable activities.


Administrative Responsibilities:

  • Maintain accurate client financial records.

  • Ensure documentation is complete and complies with clinic policies.

  • Communicate professionally with veterinarians, technicians, client service representatives, and hospital staff regarding account status.

  • Respond to client billing inquiries promptly and professionally.

  • Maintain confidentiality of financial and client information.


QUALIFICATIONS


Education:

  • High school diploma or equivalent required.

  • Bachelors Degree in Accounting, Business Administration, Finance, or a related field preferred; or equivalent combination of prior accounts receivable, billing, or collections experience.


Experience:

  • Minimum of 2 years of accounts receivable, medical billing, or accounting experience preferred.

  • Veterinary or healthcare experience is highly desirable.

  • Experience with client collections and payment processing.


Knowledge, Skills & Abilities:

  • Strong understanding of accounts receivable principles.

  • Excellent customer service and communication skills.

  • Strong organizational and time management abilities.

  • High attention to detail and accuracy.

  • Ability to maintain professionalism during difficult financial conversations.

  • Ability to prioritize multiple tasks in a fast-paced environment.

  • Proficiency with Microsoft Office (Excel, Outlook, Word).

  • Experience with veterinary practice management software is a plus.


Physical Requirements:

  • Ability to sit for extended periods while working at a computer.

  • Ability to occasionally lift up to 20 pounds.

  • Ability to communicate effectively in person and by telephone.

  • Ability to move throughout the clinic as needed.


WORK ENVIRONMENT

This position is primarily office-based within a busy equine veterinary practice, however, regular interaction with the hospital and barn environments is expected.
